PRIVACY POLICY

United Training Grounds Pty Ltd (ABN 18 651 050 690), trading as United Training Grounds and United Performance Hub (“UTG”, “we”, “us”), is committed to protecting your personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what we collect, why we collect it, and how you can access or control it.

1. Information we collect

Contact and account details: your name, email, phone number, date of birth, address and emergency contact.
Membership and booking details: your membership type, class bookings, attendance and communications with us.
Payment details: these are collected and stored by our payment providers. We do not store full card or bank account numbers.
Health and fitness information: pre-exercise health screening answers, injuries or conditions you tell us about, training data, performance results and body measurements you choose to share.
Event information: registration details, wave and division, and race results, including lap and station times.
Connected device data: if you choose to connect a wearable such as Garmin, the activity data described in section 6.
Photos and video: taken at classes and events.
Website data: pages visited, device and browser information, and cookies.

Health information is “sensitive information” under the Privacy Act. We only collect it with your consent, and only when it’s needed to train you safely or deliver a service you’ve asked for.

2. How we collect it

We collect information directly from you: when you sign up, book, register for an event, complete a health screening form, connect a device, or contact us. We may also receive it from our booking, payment and event software when you use those services.

3. How we use it

We use your information to:

provide and manage your membership, coaching, programming and event entries
train you safely, including adjusting sessions for injuries or conditions
process payments and manage your account
publish event results and leaderboards
contact you about bookings, changes and your account
send news and offers, which you can unsubscribe from at any time
improve our services and website.

We will not use your health information for marketing.

4. Who we share it with

We never sell your personal information. We only share it with:

service providers that help us run UTG, such as booking and membership software, payment processors (including Stripe and direct debit providers), email services (including Resend), website and app hosting (including Squarespace and Replit), and our accountants
our coaches, so they can train you
anyone else, but only with your consent or where the law requires it.

These providers may only use your information to provide their service to us.

5. Event results, photos and video

Your name, division, finish time and splits may appear on public event leaderboards and results pages. Your health data, including heart rate, is only visible to you and your UTG coaches.

We may use photos and video from classes and events on our website and social media. If you don’t want to appear, tell a coach or email us, and we’ll remove content featuring you where we can.

6. Garmin and other connected devices

Connecting a device is optional. You can train with us and enter our events without it.

If you connect your Garmin Connect account, we:

receive your completed activity data: activity type, date, duration, distance, pace, laps, splits and heart rate
send our workouts and event sessions to your Garmin Connect calendar so they sync to your watch.

We use this data only to show your results and training history, and to let your UTG coaches review your sessions. We do not sell or share Garmin data with any third party, or use it for advertising.

You can disconnect at any time from your account page or in Garmin Connect. When you disconnect, we delete your stored Garmin data within 30 days, except official event results (finish time and splits), which form part of the event record. Garmin handles your data under its own privacy policy. Garmin and the Garmin logo are trademarks of Garmin Ltd. or its subsidiaries.

7. Storing information overseas

Some of our service providers store data on servers outside Australia, including in the United States. We take reasonable steps to ensure they protect your information to a standard consistent with the Australian Privacy Principles.

8. Security and retention

We protect your information with access controls, secure passwords and encrypted connections. Only staff who need your information can see it.

We keep your information while you’re a member or user, and afterwards only as long as needed for legal, tax or insurance purposes. After that, we securely delete or de-identify it.

If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by law.

9. Accessing, correcting or deleting your information

You can ask to see the personal information we hold about you, or ask us to correct or delete it, by emailing us. We’ll respond within 30 days. We may need to keep some records where the law requires it.

10. Complaints

If you have a privacy concern, email us first and we’ll respond within 30 days. If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page.
